TITLE: GOVERNMENT OPERATIONS CONSULTANT II

POSITION LOCATION: TALLAHASSEE / LEON COUNTY

Your Specific Responsibilities:

This is a highly responsible position requiring extensive knowledge of the operation and organization of the Division of Disability Determinations. A thorough knowledge of state and federal policies and procedures related to facilities management, safety and loss prevention, security and privacy, purchasing and budget, and contract management is required.

Facilities Management / Safety & Loss Prevention

  • Comply with and monitor SSA and DOH facility management and safety and loss prevention policies and procedures;

  • Responsible for building maintenance and facility issues, physical security and safety, furniture and non-computer related equipment, disposal of surplus commodities, and building owner, landlord, vendor communication;

  • Responsible for facility safety inspections and evacuation drills, Incident Reports, newsletters, bulletins;

  • Assist with preparation for state and federal audits, development of the division’s Security and Privacy Plan (SPP), Continuity of Operations Plan (COOOP), and Business Continuity Plan (BCP) in compliance with SSA and DOH policies and procedures.

  • Attend related training, meetings, conferences, and workshops;

    Purchasing and Budget

  • Assist as needed in areas that include, but are not limited to, obtaining quotes; e-Purchasing; e-Spend Plan; requisitions, purchase orders, invoice reconciliation via MyFloridaMarketPlace (MFMP/AOD); level 1 and/or level 2 State Purchase Card (P-Card) charges and reconciliation; single source, competitive solicitations, exceptional and emergency purchases; provide and track expenditure and obligation info as needed for monthly, quarterly, and yearly spending plans.

  • Comply with all related policy and procedures.

    Contract Management

  • Monitor and maintain the division’s Security Guard contract;

  • Assist with the division’s Mail Services contract in compliance with DOH policies and procedures;

    Administrative

  • Maintain required state and federal documentation;

  • Assist management in development and implementation of administrative policy and procedure changes and in addressing and resolving complex work problems.

    Other

    Performs other duties as needed.

    Required Knowledge, Skills, and Abilities:

    Knowledge of State of Florida and SSA procurement rules, regulations, laws, and procedures

    Knowledge of state and department contract administration policies and procedures

    Knowledge of facilities management, state laws, policies and procedures

    Knowledge of state and department safety and security of facilities

    Knowledge of and ability to operate general office automation equipment, i.e., personal computer, fax, copier, printer, scanner, etc.

    Knowledge of and ability to utilize the My Florida Market Place and FLAIR computer system for procurement functions

    Ability to analyze and gather information

    Ability to read and apply applicable regulatory policies, procedures, and guidelines.

    Ability to communicate effectively in writing and verbally.

    Preferred Qualifications:

    Experience in facilities management

    Experience with incident and workplace accident reporting

    Experience with MyFloridaMarketplace
