The Position

Processes US and Canada Time & Attendance ensuring employees are paid correctly by addressing exceptions and making adjustments as needed to meet the deadlines of Payroll. Provides information to all levels of employees and managers regarding Time & Attendance policies and procedures. Manages the timekeeping system, the time clocks and participates in implementation and upgrade efforts of the system and the clocks. Compiles summary reports to provide relevant information to senior managers (e.g. corrected time entries, missing time sheets approvals, PTO liabilities, overtime utilization, etc.)

Duties & Responsibilities:

  • Process time records on a biweekly basis ensuring employees are paid correctly by addressing exceptions and making adjustments as needed to meet the deadlines of Payroll.

  • Manage the timekeeping system and time clocks. Pro-actively identify issues and concerns in the system with a focus on continuous improvement. Collaborate with HRIS and Facilities Management to ensure all timekeeping software and hardware or time clocks are functional and employees are able to swipe in and out according to OPU's policy.

  • Provide accurate responses to employees' and managers' inquires regarding Time & Attendance. Utilize tools and resources, as well as apply broad knowledge of processes and HR technology, to effectively diagnose information provided by employee, to assess and provide resolution. Resolve inquiries in a professional and sensitive customer-focused manner. Run various time and attendance validation reports to identify employees with inconsistent or missing time records. Contact employees with missing records and resolve issues. Reach out to line managers to alert them of inconsistencies or errors.

  • Collaborate with Leave Administrator to ensure employee records and pay are correct and the company policies are applied for employees on leave.

  • Run reports for senior managers (e.g. HRLT, CMC, President/Country Manager) to establish over-time utilization, PTO liabilities, missing timesheet approvals, corrected time entries, clock utilization, lunch break compliance, etc. Send out the reports to alert senior managers of any liabilities. May improve report design and processes.

  • Develop and maintain a thorough and deep understanding of:

  • BI's Time & Attendance policies and procedures, including state-specific guidelines

  • My Time functionality

  • Time & Attendance processes, including approvals, etc.

  • Accurately advise/guide employees and managers.

  • Participate in implementation and upgrades of new T&A system.

  • Test new programs and functionality within SAP or other Time & Attendance system, ensuring the system and processes are aligned with the associated company policies.

  • Create and test new internal processes and perform auditing processes for new T&A system.

  • Implement new or changed T&A policies.

  • Contribute to the harmonization of other OPUs in the T&A systems.

  • Analyze service tickets to update classifications in MyServices to accurately reflect current issues and inquiries

Requirements:

  • 1-3+ years experience in US and/or Canada Time and Attendance

  • SAP Payroll experience is a must

  • Employee Central Payroll is a plus

  • Strong organizational, analytical, and decision-making skills

  • Exposed to different payroll systems and UAT

  • Shared Services background is a plus

  • APA certification is a plus

  • Ability to communicate effectively within all levels of the organization

  • Excellent written, verbal and presentation skills required

  • Strong customer service skills and quality orientation

  • Ability to maintain confidentiality
